1 Required Procedures
At City Hall
  • Alien Registration: According to the Alien Registration Law, all foreign residents must register within 90 days of their arrival in Japan at the city hall in the district where they live. They need to fill out a designated application form for alien registration, and submit it with two photos (4.5 cm in length × 3.5 cm in width. This must be a clear photo with no background) and their passport. They will receive an alien registration card approximately one month following the application.
  • National Health Insurance: All foreign students residing in Japan must join the National Health Insurance scheme. After enrollment, they will receive a certificate, and will only be charged 30% of medical expenses when presenting it at medical institutions.
At Nara Branch Office, Osaka Regional Immigration Bureau
  • Temporary Leave and Re-Entry: When our foreign students leave Japan temporarily, they are required to obtain a re-entry permit from the Nara Branch Office before departure, and submit a notification document explaining the purpose of the temporary leave to the Foreign Student Affairs, Student Affairs Section.
  • Visa Renewal: If our foreign students wish to stay longer than their visa period, they need to renew their visa by submitting the following requirements to the Nara Branch Office at some point in the period three months prior to and the actual expiry date of the visa.
  1. Visa Renewal Application Form (Designated forms are available at the Nara Branch Office)
  2. Student registration certificate
  3. Transcript of academic achievement
  4. Passport
  5. Alien Registration Card
  6. Renewal fee: 4,000 yen
  • Change to Visa Status: If students wish to continue residing in Japan for work or other reasons after graduation or completion of their course, they need to change their visa status from that of Student Visa. If those who have entered Japan as family members of a student and have been accepted onto a course of study by a university, they need to change their visa status to Student Visa.
On Campus
  • Issue of Certificates: Please make an application for issue of a student identification card, certificate of school enrollment, a transcript of academic achievement and other certificates at the Educational Affairs Section or the Student Affairs Section.
  • Consultation on Health and First Aid Treatment: Please contact the Healthcare Center.
  • Foreign Students’ Dormitory, Scholarship, Tuition Exemption and Off-Campus Activities (Part-Time Work): Please contact the Foreign Student Affairs, the Student Affairs Section.
